Carepatron is practice management and EHR software that takes over a practice's back-office work, with scheduling, reminders, a client portal, telehealth, AI-assisted notes, invoices, payments and insurance billing under one login. As practice management software, it is built for individual clinicians and care teams rather than for patients, although clients interact with it through booking pages, reminders, forms and the portal.
Carepatron is a New Zealand-based company founded in 2021 by David Pene and Jamie Frew. In November 2023 it raised $4 million in seed funding from Blackbird and TQ Ventures. The company says it supports 100,000+ clinicians in 120+ countries and 24 languages.
Three facts shape most buying decisions. Paid plans are billed per user, so cost scales with team size. Several clinical and revenue services, such as e-prescribing and managed insurance billing, are add-ons with their own fees. And the terms make clear that the software alone does not make a practice HIPAA compliant.
The AI scribe transcribes session audio, then turns it into a chosen clinical template such as SOAP, DAP, BIRP or a custom format, with settings for writing perspective, verbosity and output language. After a transcribed video call, the note opens in a post-session view with the session summary, transcript, ICD-10 codes to add or review, and an AI draft marked for review before signing.
An Ask AI side panel answers questions about a client's history, past sessions, completed forms and uploaded documents, and it can reference uploaded PDFs and images. A community template library covers specialties and note types, templates can carry form fields and AI prompts, and default intake forms can go out automatically when a client books.
Built-in HD video requires no download or account on the client side, and group sessions hold up to 20 participants with screen sharing, virtual backgrounds and in-session chat. The client chart, past notes and treatment plans stay open beside the call, so notes and the follow-up invoice can be handled without switching tools.
Every action on a client record is logged and timestamped, permissions are role-based, and finalised notes can be locked to authorised practitioners. Multi-factor authentication is available for all accounts.
Transcription is optional: collapsing the AI Scribe panel lets the call continue without it. Each clinician also controls whether AI session summaries and pre-session briefings run for their own sessions, and turning those off leaves recording and draft-note generation unchanged.
Carepatron targets four practitioner groups: behavioral health (counselors, psychologists, therapists), medical (dentists, nurse practitioners, nurses, physicians, psychiatrists), allied health (dietitians, nutritionists, occupational, physical and speech therapists, social workers) and wellness (acupuncturists, chiropractors, health and life coaches, massage therapists, personal trainers).
Carepatron pricing is per user: each team member is billed on the workspace's plan, and every workspace is billed separately. List prices run from $0 on Free to $49 per user per month for Advanced on monthly billing, and yearly billing is labeled 20% off.

On the comparison table, Free lists 100 appointments and 1GB of data, against unlimited appointments and data on Plus and Advanced. Extra SMS beyond the monthly allowance on Plus and Advanced costs $0.05 each. AI automation credits rise from 1K on Free to 50K on Plus and unlimited on Advanced, and custom workflows go from none on Free to 2,000 runs per user per month on Plus and unlimited on Advanced. AI models also step up from Basic on Free to Pro on Plus and Max on Advanced.
Plus adds unlimited storage, advanced workflows, group telehealth, group scheduling and notes, a shared inbox and custom branding. Advanced adds roles and permissions, white labeling, a Google Analytics integration, 90-day deleted data retention, a 1:1 onboarding manager and premium support.
SimplePractice and Jane both appear in third-party lists of Carepatron alternatives, and both price differently from Carepatron's per-user model with an AI scribe on the Free plan.
Because Carepatron bills per user, its cost grows with headcount, whereas SimplePractice's solo plans are flat monthly fees. A solo clinician comparing the three is weighing a free tier with an included scribe against paid plans where unlimited AI notes cost extra.
Payments are non-refundable: the terms rule out refunds on termination or expiration, as well as refunds or credits for partial use. Carepatron may also add fees, or prospectively change fees for existing services, including charging for parts of the service that were previously free, without notice.
After an account ends, user data is kept for no more than 90 days and then deleted, and exporting records and preserving PHI is the practice's responsibility. A deleted workspace does not go to the Trash and cannot be restored. The plan table lists deleted data retention of 30 days on Free, 60 on Plus and 90 on Advanced.
Carepatron advertises end-to-end encryption, SOC 2 certification, GDPR compliance and an included BAA, active from day one without configuration. Its Trust Center lists HIPAA, GDPR, SOC 2 Type 1 and Type 2, PHIPA, PCI DSS, PIPEDA and the NZ Privacy Act 2020 under compliance. Data at rest is encrypted with AES-256 and data in transit with TLS 1.2 or higher. Where GDPR requires it, breach notifications are issued within 72 hours.
The company states that no client data is used for AI model training and that AI features can be turned on or off at any time. Separately, the terms allow Carepatron to use data for service improvement, analytics or sale to third parties, provided personal information is fully anonymised and aggregated first. The privacy policy, last updated on 1 September 2022, does not cover data about a customer's own patients and clients, which is governed by the Terms of Service and the HIPAA Business Associate Agreement instead.
A public review platform showed a 3.5 average across 42 company reviews as captured on October 4, 2026, with 62% five-star and 19% one-star ratings. Carepatron's homepage cites a 4.8 rating on two software review platforms. Its feature pages cite 4.5/5 across 900+ reviews on the same two platforms, so the vendor-quoted figures do not match each other.
Yes. Carepatron's BAA is entered into at the date and time a Carepatron account is created, with the account holder as the covered entity.
Carepatron says it hosts data on AWS, Microsoft Azure and Google Cloud, with hosting regions aligned to applicable local requirements. Its published subprocessor list names AWS in the United States, Australia and Europe and Google Cloud in the United States and Singapore; Azure does not appear on that list.
A 2022 help article states that Carepatron does not record or store video sessions. When AI Scribe is used, call audio is captured for transcription, and participant consent is confirmed before transcription starts.
