What is Spark Mail?

Spark Mail is a desktop and mobile email client that brings accounts into one inbox and offers an optional AI email assistant. Spark Mail Limited provides the application; Spark is part of Readdle. Its unified inbox lets users view messages from added accounts together or open each account separately.

The app works with Gmail, iCloud, Yahoo, Exchange, Outlook, Kerio Connect and other IMAP or EWS accounts. Spark does not create a new email address; it manages existing email inboxes.

Core features

Spark +AI can draft, refine, summarize and translate email, transcribe meetings and find information. Its AI Assistant works across emails, attachments, calendar and meeting notes to retrieve and synthesize details. Spark says answers include links to the sources used, giving the reader a way to inspect the underlying material.

  • Email drafting and revision: Ask for a draft or use the assistant to rewrite, proofread or translate a message.
  • Inbox actions: The assistant can draft and send email and can archive or delete messages from selected senders.
  • Scheduling: The free plan lists snoozes, Set Aside, Send Later and reminders.
  • Collaboration: Plus includes real-time team collaboration and shared templates and drafts. Pro adds read statuses and shared inboxes for teams managing messages together.

AI Assistant can search attachment content, but its current supported formats for that purpose are PDF and TXT.

Inbox organization

Smart Inbox sorts incoming messages into personal, newsletter and notification categories, placing messages from people at the top. Spark also offers Priority, Gatekeeper and Group by Sender as advanced productivity features in Plus. The vendor notes that the experience may differ among Mac, Windows, iOS and Android while it works toward feature parity.

Shared work

A shared draft lets teammates write together and discuss the message privately in comments. People invited to collaborate must use Spark and belong to the team; someone outside it receives an invitation and needs the app.

A shared inbox requires a team in Spark and a Pro plan. The feature can be used with supported Gmail, Outlook, Microsoft 365 and other IMAP accounts, but Spark says managing Outlook, Microsoft 365 and other IMAP shared inbox accounts is available on desktop. For a private account converted to shared, Snoozes, Pins and Reminders are not yet available, although Send Later is.

The account owner can remove a shared account, revoking team access and changing it to private; Spark says its comments and assignments cannot be restored afterwards. Other members can leave the account and lose access to its shared information.

Guide

Using AI Assistant

The assistant needs both Spark +AI and the assistant switch enabled in settings. On the supported platforms, Spark says to leave the app open while the assistant indexes the connected email history; once an answer appears, its source link can be opened from the assistant window.

Meeting notes

Meeting Notes transcribes an audio stream and generates a summary that can be edited, copied or shared by link. Creating +AI Meeting Notes is available on desktop only, while previously created notes are read-only on mobile. On a Mac, the documented requirement is Apple silicon with macOS 13 or later; Intel-based Macs are excluded.

For Meeting Notes, Spark lists microphone and screen-recording permissions in system settings without specifying their applicability to every platform. Short summary, key points and action items can be enabled, and a summary language selected; changes apply only to new summaries. The listed summary languages are English, German, Spanish, French, Italian, Japanese, Ukrainian, Russian and Simplified Chinese. Transcription supports more than 40 languages, a broader list than the summary-language choices.

Meeting Notes are saved in the Meeting Notes folder and can be accessed later or shared with a team. Spark asks users to inform meeting participants when making a transcription through the feature.

Use cases and examples

  • Retrieve a detail: Spark suggests asking when a flight is scheduled or finding a recent invoice. The assistant searches indexed material and links to its sources. The plan's history window limits how far back it can search.
  • Prepare meeting follow-up: Spark suggests listing action items from meeting notes or summarizing their key points. This suits an existing set of notes; creating a new transcription has its own desktop and permission conditions.
  • Clean up an inbox: Spark gives examples such as archiving newsletters already read or unsubscribing from newsletters. These are actions on connected mail, while a writing request produces a draft for review.

Who is it for

The free plan is aimed at individuals managing multiple email accounts, with a unified inbox, scheduling tools and a limited AI Assistant preview. It also lists five AI meeting notes for the lifetime of the plan. This fits someone who wants to try the assistant within a one-month history window and five lifetime meeting notes.

Plus is positioned for individuals and small teams, adding shared templates and drafts alongside the writing and inbox features. Teams choosing Spark Shared Inboxes to manage a common address need a Spark team and the Pro plan.

Platforms

AI Assistant is offered on Mac, Windows, Android and iOS, subject to device requirements. Platform availability for the email client does not mean every device can run the assistant:

  • Mac: AI Assistant is not supported on Macs without an Apple M-series chip.
  • iPhone and iPad: Spark excludes iPhone 11 and second-generation iPhone SE; iPad support starts with the A14 Bionic chip.
  • Windows and Android: Spark runs a device speed test and disables the assistant if its threshold is not met. The vendor notes that drivers or power-management settings can affect the result, including on new hardware.
  • Region: Spark says AI Assistant and +AI features are unavailable in mainland China.

For a custom account, the mail server must support IMAP; POP3 is not supported. The account connection requirements also include secure SSL or STARTTLS and successful SMTP authentication.

Pricing

Spark offers Free, Plus, Pro and an Enterprise option with a sales contact. The following prices and plan conditions were captured on November 2, 2026. Paid prices are per user on the pricing page; a subscription applies across devices signed into the same Spark account.

PlanListed priceAI Assistant historyMeeting notes
FreeFreeUp to one month; limited previewFive over the lifetime of the plan
Plus$10 per month or $99 per yearUp to one year40 per month
Pro$20 per month or $199 per yearUnlimited historyUnlimited number, subject to AI quota
EnterpriseContact salesIncludes ProIncludes Pro

Spark says Plus and Pro have a seven-day free trial when subscribed to directly in the app. The billing help describes the older Premium plan as a legacy plan for existing subscribers and says its assistant can search up to one year of history.

All Spark +AI tools share a monthly quota. The pricing page says each meeting transcription and summary consumes that quota even when the plan advertises an unlimited number of meeting notes. The pricing page describes one-time add-ons for Premium, Plus and Pro users or waiting for the monthly refill; Free users cannot buy add-ons after their preview quota is exhausted. It does not specify Enterprise add-on eligibility in that passage. Spark says purchased add-ons are one-time, non-refundable and non-renewable, with unused amounts rolling over; the plan allowance resets each billing cycle. Spark describes Pro as having a High AI quota. The billing help also uses “unlimited ... usage” for Pro, while the pricing page describes a set monthly quota: these are different descriptions in Spark's own materials.

Trials and cancellation

A separate shared-account setup flow describes a 14-day Spark Pro trial for teams, with no credit information required and no automatic billing when that trial expires. Spark says the cancellation steps depend on the platform used to start the subscription; when a subscription is canceled, it continues until its expiration date.

The terms say subscriptions renew automatically unless canceled at least 24 hours before billing. For a trial started through Apple or Google in-app purchase, or when card details are provided at checkout, the terms say the subscription fee is charged after the trial unless canceled at least 24 hours before the billing date. The no-card, no-auto-billing team trial described above has its own stated conditions.

For individual Stripe subscriptions, the terms state that applicable location-based VAT or other taxes are included in the subscription fee. Teams prices are listed before VAT or other taxes, with applicable taxes shown at checkout. The terms say a Team owner may cancel in Team settings or notify Spark at least five business days before the current period ends; for an individual purchase, the cancellation route depends on whether it was purchased via Stripe, Apple or Google.

The terms say an individual Stripe subscription can be canceled and refunded within 30 calendar days of purchase; Apple and Google process their own refund requests under their policies. Spark says the refund policy does not apply to Business Customers. Deleting a Spark account automatically cancels an individual Stripe subscription, but Apple and Google subscriptions must be canceled separately to avoid future charges.

Alternatives to Spark Mail

For a mailbox requiring POP3, Spark says the protocol is unsupported. Outlook for Microsoft 365 for Mac and Outlook 2024 for Mac support adding POP accounts, making those versions a possible alternative for a POP-based setup.

For a Gmail account, both Spark and these Outlook versions offer account connection. Those Outlook versions can manage Gmail email, calendar and contacts. Spark offers an optional AI Assistant with a limited free preview.

Limitations

Spark says AI-generated output may be inaccurate. Its assistant supports PDF and TXT attachment content for search.

AI data processing

Spark says the assistant builds its email and meeting-note index locally on the device. To answer a query, Spark says it sends the prompt and a small number of related emails to an AI provider. Its privacy policy names local models and possible third-party providers including Azure OpenAI Service, OpenAI, Claude and Vertex AI, and says Spark may switch providers manually. A local index therefore does not mean that every operation is confined to the device.

The policy says Spark does not use data to train AI models and that providers may retain inputs for up to 30 days for abuse and misuse monitoring, unless a longer period is legally required.

When Meeting Notes is used, Spark says the audio stream is sent to an AI provider for transcription and summarization, and the transcript and summary are saved in the account. The policy says Spark does not store the audio unless the user shares it for troubleshooting, while the provider may retain it for up to 30 days for abuse monitoring.

Spark's policy says shared emails, shared drafts and emails scheduled to send later may be processed on its servers for the relevant features. Its homepage separately says data is never shared with third parties, whereas its AI help and policy explicitly describe transfers to AI providers.

Personalization choices

When My Writing Style is enabled, Spark says it sends selected recent sent-email samples to an AI provider for a style description. It stores the samples and description in its backend; users can review or replace samples in settings, and the description is sent with requests for new +AI-generated drafts.

The policy also describes an optional personalization context covering aspects such as role, workflow, schedule and background. Users may allow Spark to analyze email data to generate this context or provide and edit custom instructions. The context and instructions can be permanently deleted. Spark says the context is not used for marketing or AI training; its policy separately describes an explicit-consent option to use context to improve features when a user chooses to share it with feedback.

Retention and output limits

Spark's assistant help says the history of requests and answers is processed locally on the device. The privacy policy's table for data processed through Spark systems separately lists AI Assistant history, meeting notes and summaries, writing-style samples and descriptions, and AI workflows until account deletion or manual deletion in settings. The relationship between these descriptions of history handling is not explained in the reviewed passages.

For EEA and UK residents, the policy describes a way to request deletion of personal data from Spark's systems, subject to legal exceptions. It also describes requests for access, correction, restriction, portability, objection and withdrawal of consent, and directs users to contact Spark to exercise the listed rights. The policy says rights for US residents vary by state.

Spark says it may delete a free account and associated data after 36 months of inactivity. The policy says it sends two reminders and provides a period to log in before deletion.

The policy lists different retention periods for other data: recent emails for four hours, Send Later emails until sent, and link-shared emails until the link or account is deleted.

Age and geographic terms

The terms summary says users must be at least 16, while the detailed terms say someone younger may use the app under a parent or guardian's supervision. The privacy policy separately says Spark does not knowingly process personal data of users under 16. These statements are not identical; the reviewed pages do not explain how they fit together.

Spark's terms say it does not provide services or product access to customers from the Russian Federation and Republic of Belarus. Spark also says it does not do business with companies owned by or affiliated with citizens of those countries, or with companies that support Russian aggression in Ukraine. This is a service-level statement; the mainland China restriction above concerns +AI.
